KeyWarden

Runs tenant screening, maintenance and leasing steps with manager approval.

KeyWarden handles tenant applications, maintenance requests and leasing inquiries as governed workflows, with managers approving the decisions.

CoWorQ built KeyWarden for property management. It follows the same governed pattern as QRION, and it is ready to deploy today. Interested? Talk to us and we’ll set it up for your business.

What is KeyWarden?

KeyWarden is a property management workflow that CoWorQ built to handle tenant screening, maintenance and leasing. Agent steps capture applications, extract and verify applicant data, and draft a risk summary for the property manager to approve or decline. Maintenance requests are categorized, prioritized and matched to an available technician, with urgent or costly work held for manager review. Leasing inquiries get prompt responses and tour scheduling, and leases are generated only after approval.

The problem

Where property management work gets stuck

  • Slow tenant screening

Applications wait while staff gather documents, run checks and assemble a summary by hand, and errors in lease administration are common.

  • Reactive maintenance

Requests arrive by phone and email, get logged by staff, and wait while someone finds an available technician and schedules a visit.

  • Disconnected systems

Screening, maintenance, leasing and tenant messages live in separate tools, so managers spend their time on administrative work instead of tenants.

The workflow

Agent steps inside a governed process

Agents prepare the work. People decide where judgment matters. Every step is recorded.

    Application received

The rental application and supporting documents are captured from the leasing site or email.

    Draft risk summary

The results are assembled into a screening report that highlights anything unusual about the applicant.

  4. Approval gate

    Manager decision

The property manager reviews the report and approves, conditions or declines the application.

Capabilities

What KeyWarden does

  • Tenant screening

Collects applications, runs background and credit checks, and drafts a report for the manager.

  • Maintenance triage

Categorizes and prioritizes requests, weighing urgency, safety and budget, then assigns a technician.

  • Scheduling and notices

Books technician visits and tours and keeps tenants and staff informed.

  • Tenant messaging

Answers routine tenant and prospect questions at any hour and hands off anything that needs a person.

  • Lease generation

Produces the lease after approval so signing and onboarding start from accurate data.

  • Rent recommendations

Suggests rent levels from market and occupancy signals for the manager to accept or adjust.

The reusable pattern

Same shape, any process

KeyWarden shows the QRION request-to-resolution pattern: capture a request, prepare the decision with agent steps, and route it through an owner’s approval. It applies to IT service desks, field service and facilities management.
